A CRM that nobody opens is a spreadsheet with extra logins. Small teams need a pipeline, logged email, and a mobile app that does not feel like punishment.
Pipeline versus inbox
HubSpot’s free CRM is the default try-before-you-pay. Pipedrive is clearer if sales is the whole job. Salesforce is usually too much until you have an admin. If your “CRM” is a shared Gmail label, admit it and do not buy seats to soothe guilt.
Seats and add-ons
Price the third year, not the onboarding coupon. Required add-ons for reporting are how $20 becomes $80. SSO and audit logs matter once you have contractors.
When a spreadsheet still wins
Two people, one product, deals you can remember. Move to a CRM when you miss follow-ups or you hire a third person who cannot read your brain. Skip tools that want to replace your whole company in week one.
