Obsidian, Apple Notes, and Notion solve different fears. Files you own, notes that appear on the phone, or a database the team can edit. Mixing all three without a rule is how you lose the only copy of a passport scan.
Obsidian
Local Markdown, plugins, and a vault you can back up to a disk you control. Best if you write long and you are willing to learn. Worst if your partner needs to edit from a browser with zero setup.
Apple Notes
Fast, good enough encryption if you enable it, terrible as a team wiki. Best on iPhone. Export is better than it was; it is still not a CMS.
Notion
Best shared wiki and project dump. Worst offline airplane mode. If Notion is down, your operating manual is down. Pay for it when the team actually lives there, not because the templates look like a startup.
Who should skip a new notes app
Skip a migration if your current app already syncs and you can find last week’s meeting. Tools do not create discipline.
